Mandatory fields are required to submit the form; otherwise, your message will not be sent and we will be unable to respond. Legal basis: legitimate interests and/or contract performance. Storage: messages sent through website forms are stored within the EEA on secure servers administered by Valentina-Tur S.R.L.
8. Phone contact
When you contact us by phone, we may collect: your phone number; your first and last name (if provided); details relevant to your request, provided during the call. Valentina-Tur S.R.L. may record calls solely to improve service quality and train staff, in compliance with data protection laws. Legal basis: legitimate interests. • Legitimate interest: efficient communication with customers, ensuring quality interactions, and keeping proper records. • Contract basis: necessary to perform a contract or to take steps at your request prior to concluding a contract. Reason: where your call relates to travel services or measures requested before contract conclusion (e.g., information about our holidays and services), data will be processed for these purposes. Transfer and storage: call details such as phone number, date, and time are processed by our telephony provider — ORANGE, based in the Republic of Moldova. • Post: if you contact us by postal mail, we process all information contained in letters or documents sent to us. Legal basis: legitimate interests — responding to requests and keeping correspondence records; or contract basis for steps requested by you prior to contract conclusion.
9. Information collected during interactions with our site
We collect and use data from people who interact with our site’s features, in accordance with this section and “Disclosure and additional uses of your information.”
• Newsletter
When you subscribe to our newsletter to receive information about Valentina-Tur offers, promotions, or events via subscription forms on the site or similar forms, we collect: first and last name and e-mail address. Legal basis: your consent. You can withdraw consent at any time using the unsubscribe link in each newsletter. Data for subscription is stored on the servers of our e-mail marketing provider. We use web beacons in e-mails to measure delivery, opens, clicks, unsubscribes, and links accessed.
• Placing a reservation or order on our website
When you submit a request or reservation via the Valentina-Tur website, we collect: first and last name, e-mail address, phone number, age, date of birth, and identity document data required for invoicing. If mandatory fields are not completed, you will not be able to submit the request. Legal basis: legitimate interests (account administration) and/or contract performance; plus legal obligation for invoicing. Storage: information provided via the reservation form is stored on our servers in the Republic of Moldova. Payment after order submission may be made online via the integrated payment processor — MAIB’s e-Gateway module — via bank transfer, payment order, or directly at Valentina-Tur S.R.L.’s office. The processor collects and manages payment data under its own privacy policy. Marketing communications: you may opt in to receive our marketing communications at the time of booking or ordering; we will send promotional material only if you have expressly subscribed. Legal basis: consent.
10. Information collected or obtained from third parties
We usually receive data about you from business partners or people purchasing services on your behalf; in some cases, from other entities with whom we had no direct contact. Such data may include name, contact details, and other relevant information provided by those third parties. Legal basis: necessary for contract performance or pre-contractual steps at your request; alternatively, consent; and, where applicable, legitimate interest (e.g., subcontractual relationships or protecting our legal rights). Data received in error without a legal basis will be deleted immediately. We may also obtain data from public sources (inside or outside the EU) and, where applicable, from private sources (e.g., insurers), based on your explicit consent or other legal grounds described above.
11. Use of automated decision-making mechanisms
Valentina-Tur uses certain automated decision mechanisms on its site, without producing legal effects on you or similarly affecting you. Disclosure to other third parties
In some cases, Valentina-Tur may provide information to entities such as Google Inc., Meta (Facebook), Criteo, or RTB. For example, Google collects data via Google Analytics on our site. These companies use information (including IP addresses and cookie data) to improve service quality and user experience. Data is collected and analyzed anonymously. We may also share data with consultants, affiliates, business partners, independent collaborators, and insurance companies, only when necessary for Valentina-Tur’s operations or to fulfill your requests. 13. Data retention period
• Server logs: retained for 36 months or until the contractual relationship ends.
• Order data: if you place an order for travel services, we retain your information as long as necessary or until you request deletion, correlated with Valentina-Tur’s legal obligations.
• Correspondence: retained for the time necessary to process your request or until you request deletion, subject to legal obligations.
• Newsletter: subscription data is retained while you are subscribed or until the newsletter service ends.
Criteria for determining retention: current and future purpose of processing; legal retention obligations; existence of a legal basis (e.g., consent); our legitimate interest; risk level, costs, and responsibility associated with data maintenance.
14. Security of your data
We apply appropriate technical and organizational measures to protect information against unauthorized access, unlawful use, or accidental loss, including: limiting access to authorized staff and partners under confidentiality; using secure servers; verifying identity before granting access; transmitting information via secure/ encrypted channels.
Data transmission by e-mail: please note that Internet transmission is not completely secure. If you send data by e-mail or other online means, you do so at your own risk. Valentina-Tur is not liable for losses, material or moral damages, costs, or harm caused by sending information via insecure means.
15. Transfer of your data outside the Republic of Moldova
Given the nature of Valentina-Tur S.R.L.’s activity, to honor contractual obligations and deliver travel packages, we may transfer your personal data to our partners, some of whom are located outside the Republic of Moldova. Transfers occur only where you purchase packages including foreign destinations or where chosen transport operators are based abroad. Safeguards: use of standard contractual clauses for transfers of personal data from the Republic of Moldova to third countries.
16. Your rights regarding personal data
Under applicable law, you have rights regarding your personal data, which you can exercise by sending a request to turvalentina@mail.ru or by written request to Valentina-Tur S.R.L., mun. Chișinău, Republic of Moldova, str. Al. Pușkin 32. You may: request access; request rectification or deletion; request restriction; receive data in a structured, commonly used format (e.g., CSV) and transfer it to another controller; object to processing for certain purposes; withdraw consent at any time (withdrawal does not affect prior lawful processing). You also benefit from: the right to be informed; the right of access; the right to intervene in the data (rectification, update, blocking, deletion of incomplete/inaccurate data); the right to object; the right not to be subject to an automated individual decision; the right to go to court; the right to data portability; the right to lodge a complaint with the National Center for Personal Data Protection (CNPDCP). Under Moldovan Law no. 17-XVI of 15 February 2007 “On the protection of personal data,” processing of personal data of the client and/or persons included in the reservation is carried out to fulfill contractual conditions regarding travel services. The client confirms consent (including of persons listed in the reservation) for the processing and transfer of personal data entered at the time of reservation (name, surname, gender, date of birth, citizenship, passport series and number, phone, e-mail), including to partners involved in providing travel services and for cross-border transfer of such data.
Verification of your identity when exercising rights
When you request access to your information, Valentina-Tur S.R.L. is legally obliged to take reasonable measures to verify your identity to protect data and prevent unauthorized access. If we already have sufficient information, verification will be based on it; otherwise, we may request copies of supporting documents before providing access. The exact type of information required will be communicated individually, depending on the circumstances.
17. Your right to object to processing for certain purposes
You may object to our use or processing of your information to perform a task in the public interest or for our legitimate interests, including where your behavior is analyzed or predicted based on this information; and you may object to the use/processing of your data for direct marketing (including profiling related to such marketing). 18. Sensitive personal data
“Sensitive personal data” means information revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, trade-union membership, genetic data, biometric data (for unique identification), health data, or data concerning sex life or sexual orientation. In certain cases we may collect such data, including health information and data of minors (name, surname, age, personal code, passport series/number). Health data is provided when special transport/accommodation conditions are requested (e.g., allergies — special menu; disabilities — ramp access). Minors’ data is processed exclusively to organize contracted travel services correctly and safely. If you mistakenly or intentionally send other sensitive information, we consider this your explicit consent to its processing; such data will be used strictly to enable safe deletion from our records.
19. Changes to the Privacy Policy
Minor changes: we will update this Policy by indicating a new effective date at the beginning of the document; from that date, processing of your data will be governed by the updated Policy.
Major changes or new processing purposes: if we make significant changes or intend to use data for purposes other than those for which it was initially collected, you will be informed by e-mail (where possible) or by a public notice on our website. Before using data for the new purpose, we will communicate the details and, where necessary, request your explicit consent.
20. Children’s privacy
Valentina-Tur processes data of persons under 18 only with the consent of a legal representative, in order to correctly provide services contracted by the representative. If we receive information about persons under 18 obtained fraudulently or by deception, we will act immediately: request the legal representative’s consent or, if it cannot be obtained, delete the data from our systems.
